Cost Categories 1. Direct Costs: Directly related to project implementation, including: - Salaries and Scholarships: - Principal Investigator (PI) Salary: Up to 190,000 PLN per year for full-time employment. The PI cannot receive other NCN direct-cost salaries, salaries from another employer, or social security retirement benefits simultaneously. This can be planned for a period shorter than the project duration, with proportional reduction. - Post-doctoral (Post-doc) Salary: Up to 140,000 PLN per year for full-time employment. Specific eligibility criteria apply (see Eligibility Requirements). Higher amounts may be justified if specific circumstances warrant it and are approved by the Expert Team. Total post-doc employment cannot exceed twice the planned project duration. - Specialist Auxiliary Position Salary: Up to 100,000 PLN per year for full-time employment. Max one such position per project, but can be split among multiple individuals if total employment doesn't exceed project duration. - Additional Salaries: For other research team members (excluding students/doctoral students, except for PRELUDIUM/SONATINA calls). Can be based on employment or civil law contracts. Specific monthly limits apply depending on team size and PI salary status (detailed for MAESTRO in general cost catalog, but general allowance applies here). - Salaries and Scholarships for Doctoral Students and Students: Doctoral student engagement for at least 36 months is mandatory. - Scientific Apparatus, Equipment, and Software Purchase. - Materials and Minor Equipment. - External Services. - Business Trips, Visits, and Consultations. - Collective Contractors. - Other costs essential for the project and compliant with the cost catalog. 2. Indirect Costs: Indirectly related but necessary for project implementation. - Open Access Indirect Costs: Up to 2% of direct costs, allocated exclusively for open access publishing or research data sharing. - Other Indirect Costs: Up to 20% of direct costs. These can also cover open access publishing/data sharing. - For Public Aid Applicants: Total indirect costs (including Open Access) are capped at 20% of direct costs. In this case, certain direct cost categories (materials, minor equipment, business trips, visits/consultations, collective contractors, other) are excluded from the base for calculating indirect costs. - The implementing entity must agree with the PI on the utilization of at least 25% of the general indirect costs generated in the project. Co-financing / Matching Funds
  • There are no mandatory co-financing or matching fund requirements explicitly stated for the applicant's contribution beyond the costs associated with the 'senior researcher' position (which is not relevant for SONATA BIS) and the 25% utilization of indirect costs by the implementing entity in agreement with the PI.

Eligibility Requirements

This grant is primarily for research entities and scientific personnel based in Poland, with specific criteria for the Principal Investigator (PI) and team members. Eligible Organizations Applications can be submitted by a wide array of Polish entities, including: - Universities (uczelnia) - Federations of higher education and science entities - Scientific institutes of the Polish Academy of Sciences (PAN) - Research institutes - International scientific institutes operating in Poland - Łukasiewicz Centre and institutes within the Łukasiewicz Research Network - Postgraduate Medical Education Centre - Polish Academy of Arts and Sciences - Other entities primarily conducting scientific activity independently and continuously - Groups of entities (consisting of at least two of the above, or one of the above plus at least one entrepreneur) - Scientific-industrial centers - Polish Academy of Sciences centers - Scientific libraries - Entrepreneurs with the status of a research and development center - Organizational units with legal personality and a registered office in Poland - President of the Central Office of Measures - Individuals (physical persons) - Entrepreneurs conducting scientific research in other organizational forms Note: Entities operating for less than 5 years or not belonging to the public finance sector, or those not providing sufficient guarantee of proper project implementation, may undergo an additional analysis of their legal-organizational and financial situation. Entities under receivership, liquidation, or bankruptcy proceedings are not eligible. Principal Investigator (PI) Requirements
  • Must have obtained a doctoral degree between 5 to 12 years prior to the application year. This period can be extended for documented career breaks (e.g., long-term sick leave over 90 days, parental leave – specifically, for women, an additional 18 months per child born or adopted, if more favorable).
  • Must be employed by the implementing entity for the entire project duration based on an employment contract for at least half full-time equivalent (this does not apply to individuals receiving retirement benefits).
  • Must spend at least 50% of the project's duration in Poland and be available to the implementing entity (excluding documented business trips directly related to the project, holidays, and other justified absences).
  • Can only be a PI in a SONATA BIS project once.
  • Cannot be a PI in a pending OPUS grant application where the funding decision is not yet final (unless it is an OPUS LAP application).
  • Can only be a PI in one application per call edition (if multiple applications are submitted with the same PI, only the earliest submitted will be considered).
  • The total number of NCN projects led by the PI (including those under assessment or already funded) cannot exceed two. This limit increases to three if at least one project is an OPUS LAP or an international NCN collaboration.
Team Member Requirements (excluding the PI)
  • Mandatory engagement of doctoral students (or students) for a cumulative period of at least 36 months.
  • Team members (excluding the PI) cannot hold a scientific title (e.g., professor, habilitated doctor) AND have previously collaborated with the PI on a research project funded through a competition. (This exclusion does not apply to individuals who obtain such a title during the project's implementation).
  • Post-doctoral (post-doc) positions must be full-time and for individuals who obtained their PhD no earlier than 12 years before January 1st of the employment year (extendable for career breaks). Recruitment for post-doc positions must be via an open competition. The candidate must have obtained their PhD from a different institution than where they will be employed for the project, OR have completed at least a 10-month continuous and documented post-doctoral fellowship at an institution different from the project's implementing entity AND in a country different from where they obtained their PhD.
  • Specialist auxiliary positions (e.g., lab manager, senior technician, statistical analyst) can be full-time.
  • Doctoral students/students receiving NCN scholarships must be selected via an open competition.
Exclusion Criteria
  • Projects that have already been, or are currently being, funded by NCN or other sources.
  • Applications planning any cooperation with Russian entities due to the invasion of Ukraine. Such proposals will be formally rejected.
  • Applications with overlapping research tasks within the same call edition.

Application Process

The application process for SONATA BIS 15 is entirely electronic and follows a structured timeline and set of requirements. Application Timeline and Deadlines
  • Application Form Availability: The electronic application form will be available in the OSF system starting June 18, 2025.
  • Application Submission Deadline: September 16, 2025, 14:00 (CEST/UTC+2).
  • Results Announcement: Outcomes will be published on the NCN website and communicated via an NCN Director's decision within 6 months from the application deadline, but no later than March 2026.
Application Procedure and Submission Materials

B. The assessment adheres to DORA guidelines, which emphasize a holistic view of research output rather than reliance on journal-based metrics. Factors considered include: - Reliability of the academic track record presented. - Significant contribution to the field(s) or discipline(s). - Publication record (or artistic achievements for art-related fields). - Presentations at internationally established conferences, including invited talks. - Scientific or artistic prizes/awards or membership in well-regarded international organizations. - International recognition. - Other research activities. - Research performance and outputs from previous grants. Crucially, direct references to journal impact factors (IF, CiteScore, SJR, etc.), h-index, and total number of publications are not allowed and will be disregarded in the final evaluation. The focus is on the quality, contribution, and impact of publications, considering the specific field's citation and publication practices. Scoring for PI Qualifications and Achievements (5-point scale): - 5 (Excellent): Track record is excellent, widely recognized internationally, highly valued, PI is among top researchers. - 4 (Very Good): Track record is very good, internationally recognized, PI is widely recognized in their field. - 3 (Good): Track record is good, but with limited international recognition, PI has limited recognition in their field. - 2 (Moderate): Track record is average, very limited recognition, PI has very limited recognition in their field. - 1 (Modest): Track record is below average, lacks recognition, PI lacks recognition in their field. - 0 (Poor): Poor or no scientific/artistic achievements, or track record presented unreliably. Additional Criteria (Yes/No questions assessed during evaluation)
  • Are the planned costs justified in relation to the subject and scope of the research?
  • Has data management been properly planned?
  • Have ethical issues in the research been adequately addressed?
  • Has the proposal been submitted to the correct panel (as choosing the wrong panel can lead to rejection)?

Compliance & Special Requirements

  • Projects must comply with all generally applicable Polish laws.
